Title: Volunteer Services Coordinator

Starting Salary: $24,960

Position Summary: This position provides support to the volunteer services director; supervises data entry volunteers in the volunteer service department to ensure accurate recordkeeping and reporting; supervises event volunteers at select adoption and fundraising venues. Handles administrative responsibilities such as production and distribution of volunteer manuals; presents volunteer opportunities, guidelines and policy procedures; scheduling for greeters/tablers, animal care volunteers and cat/dog socializers; assists in coordinating meetings and forums; and is responsible for inventory of volunteer supplies.

Principal Duties:

  • Supervise volunteer service department data entry and office volunteers to ensure accurate recordkeeping and reporting using Access-based program.
  • Supervise event volunteers at select adoption and fundraising venues. Ensure that policy procedures are being met.
  • Coordinate production and distribution of volunteer manual, weekly volunteer emails, volunteer orientation and recruiting material.
  • Prepare materials for new volunteer orientations and present volunteer opportunities, guidelines and policy procedures as needed.
  • Review/update volunteer job descriptions and materials, as needed.
  • Prepare submissions to monthly e-newsletter, Paws Press.
  • Provide monthly updates for Volunteer Central webpage including, but not limited to, training opportunities and help needed.
  • Design surveys for volunteer feedback on programs/events and collect feedback results.
  • Produce reports from volunteer data base to illustrate volunteer activities and impact.
  • Maintain inventory of volunteer t-shirts, aprons, name badges, and lanyards.
  • Maintain and update volunteer schedules including but not limited to adoption greeters/tablers, animal care volunteers and cat/dog socializers.
  • Assist in planning/coordination for volunteer appreciation activities, quarterly town meetings and forums.
  • Maintain a clean, organized, and inviting volunteer room. Update bulletin boards on a monthly basis.

General

  • Maintain the confidentiality of all information.
  • Always promote a humane and caring attitude toward all animals.
  • Help maintain an effective and high level of communication and cooperation with ARF staff and volunteers. Promote a humane, caring attitude and a safe, respectful, cooperative and productive work atmosphere.
  • Perform duties in a manner that encourages attainment of goals, contributions and business for ARF and its programs.
  • Perform other duties as assigned.

Physical Requirements:

  • Allergic conditions which would be aggravated when animals are present in the work place may be a disqualification.
  • Lift and move objects and animals weighing up to 50 pounds for short distances and to humanely restrain animals when necessary

Educational Requirements: High school diploma or GED.

Experience, Abilites and Qualities Required:

  • Excellent organizational skills, with strong attention to detail.
  • Strong critical reasoning and computer skills including: MS Office Suite (Word, Outlook, Excel, Power Point, Access). Ability to create filters/reports using Microsoft. Proficiency with database functionality is crucial.  
  • Strong internet skills.
  • Ability to quickly learn software applications including but not limited to instant-scheduling.
  • Effective grammar, written and verbal communication skills.
    Ability to work independently and as part of a team.
    Ability to prioritize and handle multiple tasks; inquiries, requests, projects in tandem.
  • Keen listening skills with the confidence to ask for assistance when needed and questions if direction is unclear.
  • Ability to give clear instructions and work with ARF volunteers and staff in an effective and respectful manner.
  • Communicate with the public, volunteers and co-workers in a pleasant, courteous and tactful manner at all times.
  • Goal and objective oriented, and ability to achieve the same.
  • Comfort and skill in working with a culturally diverse staff, volunteers and community.
  • Maturity, good judgment and professional attitude, as well as, professional appearance.
  • Affection for animals, concern for their welfare and a willingness to accommodate animals in the work place.
  • Must have a valid California Driver’s License and follow safe driving practices obeying all traffic laws at all times while driving an ARF vehicle.

Immediate Supervisor: Volunteer Services Director

Hours: Full time hourly position requires a minimum of 40 hours per week. Daily reporting hours and days of the week may vary according to the needs of the Division. Weekend and evening work may be required.
